Vehicle inspections: delivery and return

This article explains the methods used to verify and assess damage to our vehicles, detailing what is considered acceptable or not in each vehicle component, as well as the procedures for Delivery (Check-out) and Return (Check-in) Inspections.

Introduction

This article explains how vehicle inspections are carried out at delivery (check-out) and return (check-in), what is considered normal wear and tear, and how damage is assessed.

Understanding this process helps ensure transparency and avoids misunderstandings at the end of the rental.

1. Purpose of vehicle inspections

Vehicle inspections are conducted to:

  • Record the condition of the vehicle at delivery and return

  • Ensure safety, cleanliness, and overall integrity

  • Identify normal wear versus damage caused by improper use

  • Support a fair and transparent rental process

2. Where inspections take place

Inspections are carried out at the facilities of Bluwalk’s national partners, referred to as Agents. These partners are responsible for performing standardized inspections using dedicated inspection tools and procedures.

3. Vehicle delivery inspection (check-out)

The delivery inspection takes place when the vehicle is handed over to the customer and ensures the vehicle is in suitable condition to begin the rental.

3.1 What happens during check-out

During the check-out inspection:

  • The customer receives an email confirming the reservation date and time

  • The customer must arrive at the Agent’s location 15 minutes before the scheduled time

  • At reception, the customer confirms they are collecting a Bluwalk vehicle

  • The Agent verifies the designated driver’s tax identification number (NIF)

  • The Agent records both their own identification details and the customer’s information in the inspection application

  • The customer accompanies the Agent to the vehicle

  • The Agent checks for existing damage, starting at the front left door (driver’s side) and proceeding counterclockwise around the vehicle

  • General photos of the vehicle are taken at the end of the inspection

  • Once validated, the inspection must be digitally signed by the customer

  • The Agent hands over the vehicle keys and documentation

3.2 Customer responsibilities at check-out

The customer is responsible for:

  • Attending the inspection

  • Reviewing the recorded condition of the vehicle

  • Reporting any visible damage before signing

  • Signing the inspection only after confirming the recorded information is accurate

4. Vehicle return inspection (check-in)

The return inspection takes place when the vehicle is returned at the end of the rental period.

4.1 What happens during check-in

During the check-in inspection:

  • The vehicle is inspected using the same methodology as at delivery

  • Photos and records are taken to document the vehicle’s condition

  • The condition at return is compared with the check-out inspection

  • Any differences are assessed and classified

4.2 Assessment of damage and wear

The return inspection aims to determine whether any changes to the vehicle’s condition fall under normal wear and tear or constitute damage.

This assessment may affect the refund of the rental deposit, in accordance with the applicable conditions.

5. Normal wear vs damage

  • Normal wear and tear refers to minor signs of use that occur naturally during careful and responsible vehicle operation and do not affect safety or functionality.

  • Damage refers to deterioration resulting from improper use, negligence, misuse, or incidents, and may result in additional charges.

Any damage not recorded during the delivery inspection will be attributed to the customer.
